Summary

Imperial College Union is the Students' Union at Imperial. We are separate to the College, but we work closely with them to make a positive impact on the experiences and outcomes of all Imperial College students from all backgrounds.

We are currently rebuilding our venues team and are recruiting for several roles including an Event Operations Coordinator. The Event Operations Coordinator is responsible for assisting the Deputy Venues Manager (Events) in the operational day-to-day management and continual development of the Union’s events, both internal and external to their licensed trade venues.

Job Description

Duties and responsibilities
You will be responsible for liaising with event hosts (predominantly student clubs and societies and internal Union teams, but also some external bookings) to gain all information required and assist with the organising of events so they are successful.

The Event Operations Coordinator is expected to attend and work at all of the venues across all campuses on, at least, a fortnightly basis and ensure all venues adhere to legislation and policies relating to licensing law, health & safety and food hygiene.

In addition to the above you will also be responsible for planning and delivery of events both within our venues and in external locations (including arranging suppliers, logistics and staff rotas). This post holder must also liaise with our own internal teams to ensure adequate staffing is provisioned and the marketing team to ensure all events are marketed to the right demographic.

You will also assist the Deputy Venues Manager with organising the Union’s own programme of events for students including Welcome Week, graduation, termly balls and the Summer Ball. Alongside this there will be a requirement to build relationships with our clubs and societies and assist with the planning and operations of student lead events.

Essential requirements

  • To ensure best practice regarding all events to ensure they are well organised and comply with all licensing requirements
  • To create detailed function sheets and even calendars and ensure all teams are aware of events
  • To plan, organise and supervise event staff, ensuring that clear briefings are given and staff are clear on their roles and responsibilities
  • To maintain excellent communication with event hosts, being organised and methodical in tracking correspondence, actions, and requirements
  • To assist the Deputy Venues managers with ensuring all events are properly costed and effectively charged pre and post event
  • To assist the Assistant Venues Manager (Rotas & Training) with the formulation of bar and kitchen rotas
  • To assist the DVMs in the recruitment and induction of staff as required
  • To assist with identifying and monitoring training needs, and work with the Assistant Venues Manager (Rotas & Training) in developing people through positive challenge and ensure growth in personal knowledge
  • To ensure that all events are planned and operated in a safe way, including the completion and adherence to risk assessments
  • A working knowledge of Health and Safety legislation, COSHH and relevant best practice
  • A sound understanding of Licensing Law and the requirements for operating licensed premises
