Summary

The aim of the Students’ Union is to support and enhance the educational, social, cultural and recreational activities and opportunities of the student body, and to provide a channel of communication for students with the University, the National Union of Students and other external organisations. The Student Activities Manager leads the Student Activities team of Membership Services, currently made up of competitive sports and student-led societies. The Student Activities team seeks to achieve maximum engagement from the student body in a broad variety of activities based upon student feedback, working with students to develop the opportunities available to them across our 9 study sites.

Job Description

With all student opportunities within Beds SU designed to develop the employability of our members – and nearly 1,000 students involved – the postholder will lead on the implementation, support, monitoring and development of the Union’s accreditation scheme, working to embed our skills training and awards into the wider student experience at the University of Bedfordshire.

Objectives

  • Ensure the union is accountable for achieving outcomes from feedback received by students.
  • Introduce and embed the new democratic meeting structure within student activities.
  • Increase overall student engagement in the Union activities.
  • Create a training offer that is available to students that holistically approaches their personal development whilst informing their portfolio.
  • Increase the opportunities that the students’ union offers to students.
  • Creation of a Beds SU accreditation scheme that offers reward and recognition for engagement.
  • To develop key partnership projects with the university and maintain relationships.
  • To develop key policies to safeguard our members when engaging with the union or the community.
  • Readdress existing staff roles to ensure a collaborative working culture within the union.

Primary Areas of accountability

Accreditation of internal volunteering:
  1. Working closely with the Communications Team, promote membership engagement with the accreditation scheme across the institution, throughout the year, through a variety of communication channels to ensure our members know how to gain the accreditation and the benefits of doing so.
  2. Lead the Union’s work to ensure that Union activities are accredited through the new University E-Portfolio initiative.
  3. Support colleagues to design, develop and deliver an additional skills training programme based upon identified employability skills.
  4. Monitor student feedback from training and the broader scheme, acting swiftly and appropriately to ensure that high levels of member satisfaction are secured and maintained, and impacts are met.
  5. Collaborate with University colleagues to ensure that internal Union volunteering opportunities are included in the broader employability agenda.
  6. Collaborate with University colleagues to achieve Investors in Volunteers status, leading on the Union’s submission of evidence for audit.
 Societies:
  1. Promote membership engagement with student-led societies across the institution, throughout the year, through a variety of communication channels to ensure our members know how to get involved and start their own societies.
  2. Oversee the Union's work to empower student-led societies, including but not limited to: supporting election and training of committee members; ensuring compliance with policies and procedures, especially in reference to Health & Safety, and General Data Protection Regulations; managing budgets; liaising with University colleagues.
  3. Monitor compliance with relevant policies and procedures – internal and external (e.g. UK law, Charity Commission best practice, governing bodies) - regularly reviewing in-house policies and procedures to ensure that they are fit for purpose.
  4. Monitor student feedback in democratic forums, providing regular updates and recommendations for SLT and the Executive Officer team to continually develop the service.
Sports:
  1. Promote membership engagement with student-led sports clubs across the institution, throughout the year, through a variety of communication channels to ensure our members know how to get involved and start their own societies.
  2. Oversee the Union's work to empower student-led sports clubs, including but not limited to: supporting election and training of committee members; ensuring compliance with policies and procedures, especially in reference to BUCS, Health & Safety, and General Data Protection Regulations; managing budgets; liaising with University colleagues.
  3. Monitor compliance with relevant policies and procedures – internal and external (e.g. UK law, Charity Commission best practice, governing bodies) - regularly reviewing in-house policies and procedures to ensure that they are fit for purpose.
  4. Monitor student feedback in democratic forums, providing regular updates and recommendations for SLT and the Executive Officer team to continually develop the service.
  5. Collaborate with University and external sports teams/departments with a view to consistently improving and extending the offering to students.
Democracy:
  1. Support the administration of annual committee elections through the online platform alongside the Beds SU Student Voice team to ensure all student groups run free, fair and transparent elections for all committee positions as per the democratic values of Beds SU.
  2. Ensure all student groups produce and maintain the relevant governing documents, holding an Annual General Meeting to gain the consent of the wider membership.
  3. Ensure all democratic forums are carried out in accordance with the Bylaws of Beds SU, in collaboration with the Student Voice team, to ensure that committee members may develop, debate and vote upon policies specific to their area of the Union.
  4. Support the maintenance of the Union’s policy file, especially in reference to student groups, providing project management support where required for student officers and other Union staff implementing democratically approved policy.
General:
  1. Work closely with and provide professional support, advice and guidance to our elected officer(s).
  2. Work closely with and provide professional support to the wider Membership Services teams.
  3. Ensure that strict data protection standards are maintained amongst Union staff and student volunteers alike.
  4. Keep accurate records to contribute to an annual impact report regarding the work of Membership Services at Beds SU.
  5. Implementation of the relevant objectives and operational action plans to contribute to (and regularly report progress towards) the Union’s strategic aims: delivering opportunities that have a positive impact on our students, that are shaped by students, offer personal development and ensure a collaborative working approach.
  6. Assist in the marketing and delivery of Fresher’s Week, end of year awards, and other key annual events and activities.
  7. Ensure all policies and procedures with regards to external speakers complies with the University’s speaker guidelines.
  8. Occasionally work outside normal office hours, including evenings and weekends, to support student activities and open days, both within the Student’s Union premises and outside.

Required knowledge, skills and abilities

  • Educated to degree-level standard and/or experience relevant to the role.
  • A good understanding of the English language.
  • Understanding of the UK Higher Education system.
  • Understanding of NUS’ national agenda.
  • Working knowledge of British Universities and College Sports (BUCS)
  • Working knowledge of campaign theory.

Education and experience

  • Proven track record of supporting and empowering others to deliver successful outcomes/reach agreed objectives.
  • Proven track record in leading teams to successfully implement a change programme in line with an organisation’s strategic objectives.
  • Experience of working in/with employability services.
  • Experience of working in/with member-led organisations.
  • Experience working with elected representatives.
  • Ability to work and communicate with a diverse range of people and groups.
  • Demonstrable project management skills.
  • Ability to use primary and secondary research to evidence a viewpoint.
  • Experience of processing raw data.
  • Experience of writing briefing documents.
  • Experience of providing effective administrative support using a range of Microsoft Office packages.
  • Experience of website content management.
  • Experience of supporting/returning elections.
  • Experience coordinating events/agreements between external and internal partners.
  • Experience of designing and delivering training sessions from training needs.
  • Excellent customer service skills.
